Sharing tasks via a link – a new feature in Nozbe

At Nozbe, we focus on flexible collaboration - including working with people outside your team. That’s why we’re introducing a new option: sharing individual tasks not only by email, but also with a simple link.

Collaboration beyond your team—now even easier

Until now, if you wanted to collaborate on a task with someone outside your team (even someone without a Nozbe account), you could do it via email. The recipient would get an invitation, click a button, and open a simplified Nozbe view in their browser—with access limited to that single task.

Now we’re taking it one step further.

From now on, you can generate a link to a selected task and send it through any channel you like:

  • SMS,
  • Messenger,
  • Slack,
  • Instagram,
  • or any other way you prefer.

The person who receives the link can open the task even without a Nozbe account. After clicking, they’ll see Nozbe in a simplified browser view — just like with an email invitation.

How does this person appear in the task?

By default, a person who opens a task via a link will appear in comments or assignments as “Guest.”

At the same time, the app shows a short prompt encouraging the Guest to:

  • set a display name,
  • create a free Nozbe account.

Once a display name is set, “Guest” will be replaced with the person’s name or nickname — making communication and comment threads much clearer.

What can (and can’t) a Guest do?

Guest access is intentionally limited. The goal is to enable meaningful collaboration on a single task, without risking unwanted changes.

A Guest can:

  • add comments,
  • change the task title,
  • assign the task to another person (from the dropdown list),
  • set or change the due date.

A Guest can’t:

  • add or change task recurrence,
  • add or change tags.

This way, you stay in control of your system’s structure while still collaborating comfortably with people outside your team.

How collaboration works in practice

Start with the task. Create a new one or choose an existing task — but first make sure there’s no confidential information in the comments that shouldn’t be shared outside your team.

In the comment, clearly describe what you expect from the person you’re sharing the task with. Attach files if needed — Guests can view and download attachments. You can upload PDFs, videos, spreadsheets, and more.

It’s also a good idea to clearly ask the person to reply in a comment and reassign the task back to you once it’s done.

Set a due date and time if needed.

Click or tap the ‘Who’s responsible’ field, scroll to the bottom of the dropdown list, and select + Share with anyone.

Now choose whether you want to share the task via email or link. If you choose email, enter the person’s address and confirm. If you prefer a link, copy it and send it through any channel you like.

💥 Important: access to a task can be granted to only one person. If you send the same link to multiple people, only the first person who opens it (or pastes it into their browser) will get access. The link will be blocked for everyone else.

Who is this feature available for?

Sharing tasks via email or link is available on all plans: Nozbe Premium, Business, and the Nozbe Free plan.

When is this useful?

This feature is especially helpful when you:

  • work with freelancers or clients,
  • want to quickly consult on a single task,
  • need someone’s feedback or approval,
  • don’t want to invite someone to an entire project or team.

One task. One link. No account required.
